These General Terms and Conditions (“Terms”) set out the rules for your partnership and your appearance at our events: how the contract is concluded, what we provide, what we need from you, and how payment, cancellation and liability are handled.
In case of doubt, the German version of these Terms prevails.

1.1 These Terms apply to all contracts between Be Brave gUG (haftungsbeschränkt) (“we” or “organiser”) and companies and organisations that appear as partners or exhibitors at our events, in particular the Future Leader Summit (“you” or “partner”).
1.2 These Terms are addressed exclusively to entrepreneurs within the meaning of Section 14 of the German Civil Code (BGB), legal entities under public law and special funds under public law.
1.3 We are a non-profit limited company (gemeinnützige Unternehmergesellschaft) that promotes education as well as adult and vocational education.
1.4 Only these Terms apply. Your own terms and conditions only apply if we expressly agree to them in text form. Individual agreements in the quote take precedence over these Terms.
2.1 You receive an individual quote from us setting out your services and prices. The contract is concluded when you sign the quote; an electronic signature is sufficient. Until then, an enquiry or registration is not binding on either party.
2.2 Conditions or reservations only apply if they are expressly agreed in the quote.
2.3 We take requests for locations and positions into account as far as possible but cannot guarantee them. Where requests are the same, the order in which contracts were concluded decides.
2.4 You can book further services at any time with a further quote; the same procedure applies.
3.1 The services you receive are set out in your quote. Depending on the booking, they include in particular:
3.2 The duration, location and procedure of the individual formats (e.g. length of a speaking slot, time window of a company tour, seating and technology of a masterclass) follow from the quote and the information in the partner portal. We provide moderation, stage technology and the application process for formats with participants, insofar as provided for in the quote.
3.3 We may adjust the programme, times, stages and spaces where this is necessary for the event and reasonable for you, in particular where the booked benefit is essentially preserved. We will inform you of significant changes in good time.
3.4 We produce and install branding elements that you book with us. We charge separately for additional effort (e.g. cleaning, disposal) caused by activities and materials you do not book with us.
4.1 For your preparation, you receive access to our partner portal https://portal.chef-treff.de. There you will find your services, a checklist with deadlines, the wiki with all information and – if you have an exhibition booth or your own stage – your Summit Shop (§ 5.1). Logins are personal; you can invite further people from your team and are responsible for their use.
4.2 You provide us with the information and files we need for your appearance (e.g. logo, print files, texts, people for formats and the booth) in full, in the form described in the portal and by the deadlines stated there. We need logos for our website as SVG files.
4.3 If you deliver late or incompletely, we may only be able to provide the service concerned to a limited extent or not at all, without the fee being reduced. We may charge you for additional costs caused by late delivery (e.g. express production).
4.4 You warrant that you hold the necessary rights to all content, logos, images and files you provide to us, and you indemnify us against third-party claims arising from an infringement of these rights.
5.1 Partners with an exhibition booth or their own stage can order additional services in the Summit Shop (e.g. furniture, technology, merchandise). All partners can book catering for their people (e.g. lunch packages) via the checklist in the portal.
5.2 You can change or cancel shop orders until the end of the respective ordering phase; at the end of the phase they become binding. The phases and deadlines are shown in the portal.
5.3 For orders placed in the late-ordering phase after the regular ordering deadline, we charge a surcharge of 25%, insofar as an order is still possible at that point. Catering is excluded; its own deadline in the portal applies.
5.4 Prices for shop and catering services are those shown in the portal at the time of ordering, plus VAT.
6.1 The prices in the quote apply, plus statutory VAT.
6.2 We invoice the fee from the quote upon conclusion of the contract. Payment is due within 30 days, or within 14 days if the contract is concluded less than three months before the event.
6.3 Invoices for shop and catering orders are due 7 days after the event.
6.4 In the event of late payment, we charge default interest of 9 percentage points above the base rate (Section 288(2) BGB) and the flat-rate default charge under Section 288(5) BGB. If you still do not pay after a reasonable grace period, we may withdraw from the contract and allocate the booked service elsewhere; § 7.2 then applies accordingly.
7.1 You may withdraw from the contract. The withdrawal must be declared in text form.
7.2 In the event of withdrawal, we charge the following flat rates, each based on the agreed fee:
7.3 You may prove that we have suffered no damage or significantly less damage. If we can allocate the released service elsewhere, we credit the proceeds.
We may terminate the contract for good cause, in particular if
In these cases, the claim to the fee remains in accordance with § 7.2 and § 7.3.
9.1 Booth construction is carried out by us or by service providers we commission. You may only use your own booth construction or your own exhibition builders after prior approval by us and the venue; you obtain the necessary permits at your own expense.
9.2 Set-up and dismantling take place at the times we communicate in the portal. Earlier set-up requires our approval; early dismantling during opening hours is not permitted.
9.3 If you fail to observe the set-up or dismantling times despite a reminder, we may demand a contractual penalty of 10% of the fee for the space concerned. Further claims for damages remain unaffected; the contractual penalty is credited against them.
9.4 We store items still on the space after the end of the dismantling time at your expense and risk.
9.5 Changes to the allocated space or equipment require our approval. You order technical connections beyond the booked scope separately.
10.1 You may only let your space or parts of it to third parties (co-exhibitors) with our prior consent in text form. Additional costs may arise for each co-exhibitor.
10.2 You are liable for your co-exhibitors as for yourselves.
10.3 In the case of co-exhibitors without consent, we may have the space cleared at your expense and terminate the contract for good cause.
11.1 Applicant data for formats. For formats with participants (e.g. masterclass, company tour, interview tables, side event), you see the applications for your format in the portal. You may use this data exclusively for selecting participants and contacting them about this format, not for advertising, newsletters or your own talent pools, unless the person consents. You process the data as an independent controller within the meaning of the GDPR. Your access ends four weeks after the Summit; you delete downloaded data no later than three months after the Summit.
11.2 Lead scanning. When scanning a badge in the event app, you only receive the data that the person has released there. § 11.1 applies accordingly to its use; passing it on to third parties is not permitted.
11.3 People without their own account. If you add people in the portal who do not have an account themselves (e.g. your booth team, people running a format, participants in your meetings), you inform these people about the processing in accordance with our privacy policy. Do not enter contact details in note fields. We delete these entries no later than 30 days after the end of the event.
11.4 Your team. You staff your space with sufficient qualified personnel during opening hours. You receive the tickets for your team as agreed in the quote; they are personal.
11.5 Our privacy policy at https://chef-treff.de/datenschutzerklaerung explains how we process personal data.
12.1 You grant us the simple, royalty-free right to use your name and logo in connection with the event: on our website, in the event app, on signage and printed matter, on social media and in reporting, including after the event for documentation.
12.2 You may advertise your participation. You only use the brands and logos of ChefTreff and the Future Leader Summit in the form we provide for this purpose.
12.3 Your advertising in connection with the event must be lawful and must not contradict the non-profit purpose of the event. You indemnify us against third-party claims arising from your advertising.
12.4 Photos and videos are taken at the event, including of your booths, formats and your people. We may use them for documentation, reporting and advertising future events. The rights of the people depicted under the privacy policy remain unaffected.
13.1 You take out business liability insurance with a minimum cover of EUR 2 million for personal injury and property damage and provide proof on request.
13.2 You insure your own items and exhibits yourselves against transport, theft and damage.
13.3 You are liable for damage culpably caused by you, your employees, co-exhibitors or third parties commissioned by you, and indemnify us against third-party claims in this respect.
14.1 We are liable without limitation for intent and gross negligence, for injury to life, body or health, under guarantees and under the German Product Liability Act.
14.2 In the case of slight negligence, we are only liable for the breach of essential contractual obligations, i.e. obligations whose fulfilment makes the proper performance of the contract possible in the first place and on whose fulfilment you may regularly rely. In this case, liability is limited to the foreseeable damage typical for this type of contract and, in amount, to the agreed fee.
14.3 We are only liable for items brought onto the premises in the case of intent or gross negligence.
15.1 If we cannot hold the event or cannot hold it as planned due to circumstances for which we are not responsible (e.g. natural disaster, pandemic, war, terrorism, official orders, strikes), we may cancel it, postpone it or hold it on a reduced scale.
15.2 If we cancel the event, we refund amounts already paid; we may deduct costs already demonstrably incurred for you (e.g. branding elements already produced). If we postpone the event or hold it on a reduced scale, we adjust the fee proportionately for services that are not provided.
15.3 Further claims, in particular for reimbursement of your travel, staff or production costs, do not exist in these cases.
Please report defects in our services without delay, at the latest by the end of the first event day, so that we can remedy them on site. Defects reported later that could have been remedied if reported in time do not entitle you to a reduction.
For due claims under the contract, we have a lien and right of retention over the items you bring to the event. After written notice and a reasonable period, we may realise them.
Your claims against us become time-barred one year after the end of the event. This does not apply to claims arising from intent or gross negligence, from injury to life, body or health, or under the German Product Liability Act.
19.1 Amendments and additions to the contract must be made in text form.
19.2 German law applies, excluding the UN Convention on Contracts for the International Sale of Goods.
19.3 The place of performance and exclusive place of jurisdiction is Hamburg.
19.4 Should individual provisions of these Terms be or become invalid, the validity of the remaining provisions remains unaffected.
